Terms of Service

By adding StaffBot to your Discord server, accessing the Web Dashboard, or using any part of our Services, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy.

If you do not agree with any part of these Terms, you must immediately stop using the Services and remove StaffBot from any Discord server under your control.

These Terms apply to all users, including server owners, administrators, moderators, staff members, and any individuals who interact with the Services directly or indirectly.

You must be at least 13 years old to use StaffBot, in accordance with Discord's Terms of Service. If you are located in a jurisdiction where the minimum age for data processing consent is higher (e.g., 16 years in certain EU member states under GDPR), you must meet that higher age requirement.

By using the Services, you represent and warrant that you meet the applicable age requirement. If we discover that a user is below the required age, we reserve the right to immediately terminate their access and delete associated data.

You must also comply with Discord's Terms of Service and Discord Developer Policy when using StaffBot.

StaffBot provides the following services to Discord server administrators and staff teams:

• Discord Bot: Moderation commands (warn, mute, kick, ban), role management, activity tracking, and automated LOA (Leave of Absence) management.
• Web Dashboard: A web interface to view staff analytics, manage punishments with proof, approve LOA requests, configure server settings, and export data.
• Notification System: DM notifications for sanctions, LOA reminders, and staff announcements.
• Audit & History: Full moderation history with proof images, timestamps, and staff identification.

We reserve the right to modify, suspend, or discontinue any feature of the Services at any time, with or without notice.

As a user of the Services, you agree to:

• Provide accurate information when configuring the bot and dashboard.
• Use the Services in compliance with all applicable local, national, and international laws and regulations.
• Comply with Discord's Terms of Service, Community Guidelines, and Developer Policy at all times.
• Not use the Services to harass, harm, threaten, or intimidate any individual.
• Ensure that moderation proof images uploaded are legitimate, accurate, and do not violate any third party's rights.
• Maintain the security and confidentiality of your Discord account and dashboard access.

You are strictly prohibited from:

• Attempting to reverse engineer, decompile, disassemble, or otherwise discover the source code of StaffBot.
• Using automated scripts, bots, scrapers, or crawlers to access the Web Dashboard or API endpoints in an unauthorized manner.
• Deliberately uploading false, misleading, or fabricated proof images to justify sanctions against Discord users.
• Using the Services to conduct any illegal activity, including but not limited to harassment, defamation, or privacy violations.
• Attempting to gain unauthorized access to other servers' configurations, staff data, or administrative panels.
• Overloading, attacking, or disrupting the infrastructure supporting the Services (DDoS, API abuse, spam).
• Reselling, sublicensing, or commercially exploiting the Services without prior written authorization.

StaffBot allows authorized staff members to upload screenshots and images as evidence of rule violations before applying sanctions. By uploading proof images, you represent and warrant that:

• The images are authentic, unaltered, and accurately represent the described incident.
• You have the right to upload the content and it does not infringe on any third-party intellectual property or privacy rights.
• The content does not contain illegal material, including but not limited to content that exploits minors.

We reserve the right to review uploaded images in cases of abuse reports and to remove content that violates these Terms or applicable law.

All intellectual property rights in and to the Services, including but not limited to the StaffBot source code, design, graphics, trademarks, and content, are owned exclusively by StaffBot or its licensors.

You are granted a limited, non-exclusive, non-transferable, revocable license to use the Services solely for your Discord server management needs, subject to these Terms.

You may not copy, modify, distribute, sell, or create derivative works based on any part of the Services without our express prior written consent.

The Services are provided "as is" and "as available" without warranties of any kind, whether express, implied, statutory, or otherwise, including, without limitation, any implied warranties of merchantability, fitness for a particular purpose, and non-infringement.

We do not warrant that the Services will be uninterrupted, error-free, secure, or free of viruses or other harmful components. We may take the Services offline for maintenance, updates, or other operational reasons at any time.

Service availability is dependent on third-party infrastructure providers including Discord, Vercel, Render, and Neon PostgreSQL. We are not responsible for outages caused by these third parties.

To the fullest extent permitted by applicable law, StaffBot and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of data, loss of revenue, loss of profits, or damage to reputation, arising out of or in connection with your use of or inability to use the Services.

In no event shall our total liability to you for all claims arising from or relating to the Services exceed the greater of (a) the amount you paid us in the twelve (12) months prior to the claim, or (b) €50 EUR.

Some jurisdictions do not allow the limitation of liability for certain types of damages. In such jurisdictions, our liability shall be limited to the maximum extent permitted by law.

We reserve the right, at our sole discretion, to suspend or terminate your access to the Services at any time and for any reason, including but not limited to:

• Violation of these Terms of Service.
• Violation of Discord's Terms of Service or Developer Policy.
• Engaging in fraudulent, illegal, or abusive activity.
• Conduct that we determine, in our sole discretion, to be harmful to other users or to the integrity of the Services.

Upon termination, your right to access and use the Services will immediately cease. Provisions of these Terms that by their nature should survive termination shall survive, including intellectual property, disclaimers, and limitation of liability.

You may terminate your use of the Services at any time by removing StaffBot from your Discord server and deleting your dashboard account.

We reserve the right to modify these Terms at any time. When we make material changes, we will update the "Last updated" date at the top of this page. We may also notify you of significant changes via the Web Dashboard or Discord announcements.

Your continued use of the Services after any changes constitutes your acceptance of the new Terms. If you do not agree with the modified Terms, you must stop using the Services.

We encourage you to review these Terms periodically to stay informed about any updates.

These Terms shall be governed by and construed in accordance with the laws of Belgium and the applicable European Union regulations, without regard to its conflict of law provisions.

Any disputes arising out of or relating to these Terms or the Services that cannot be resolved informally shall be subject to the exclusive jurisdiction of the competent courts of Belgium.

If you are a consumer located in the European Union, you may also have the right to bring proceedings before the courts of your country of residence or use the EU's Online Dispute Resolution platform at ec.europa.eu/consumers/odr.
